These Terms and Conditions apply to all bookings made with The Everest Coachline (“the Company”, “we”, “us”), 9 Hillary Road, High Wycombe, Bucks, England, HP13 7RA. By confirming a booking, you (“the Hirer”) accept these terms on behalf of yourself and all passengers in your party.
1. Quotations and Bookings
- 1.1 All quotations are based on the information provided by the Hirer, including dates, times, pickup points, destinations, passenger numbers and luggage. Changes to any of these details may change the price.
- 1.2 Quotations are valid for [14] days from the date of issue unless otherwise stated.
- 1.3 A booking is confirmed only when we issue written confirmation and any required deposit has been received.
- 1.4 The route taken and vehicle used will be at the reasonable discretion of the Company unless specifically agreed in writing.
2. Deposits and Payment
- 2.1 Bookings may require a deposit of [25%] of the total hire price, payable at the time of booking.
- 2.2 The balance is payable no later than [14] days before the date of travel. For bookings made within [14] days of travel, full payment is due at the time of booking.
- 2.3 For approved business and school accounts, payment terms are as agreed in writing (typically invoice within [30] days).
- 2.4 If payment is not received by the due date, the Company reserves the right to treat the booking as cancelled by the Hirer and apply the cancellation charges in Section 3.
3. Cancellation by the Hirer
- 3.1 Cancellations must be made in writing (email is acceptable) and take effect from the date we receive them.
- 3.2 The following cancellation charges apply, calculated as a percentage of the total hire price:

- 3.3 Refunds due under this section are handled in accordance with our Refund Policy.
4. Cancellation or Changes by the Company
- 4.1 In the rare event we must cancel your booking for reasons within our control, we will offer a suitable alternative vehicle or a full refund of all monies paid, including the deposit.
- 4.2 We reserve the right to substitute the allocated vehicle with another of at least equivalent capacity, and to subcontract the journey to another licensed operator where necessary to fulfil the booking.
- 4.3 Our liability for cancellation by the Company is limited to a full refund of monies paid; we are not liable for consequential losses such as accommodation, tickets or other arrangements.
5. Punctuality, Delays and Events Beyond Our Control
- 5.1 We plan every journey to run on time, but we cannot guarantee arrival times where delays are caused by events beyond our reasonable control, including traffic congestion, road closures, accidents, severe weather, or actions of other road users or authorities.
- 5.2 We strongly recommend allowing generous contingency time for time-critical journeys such as flights, sailings and ceremonies. The Company is not liable for missed departures or events caused by circumstances beyond our reasonable control. 5.3 In cases of vehicle breakdown, we will use all reasonable efforts to provide a replacement vehicle as quickly as possible.
6. Waiting Time and Changes on the Day
- 6.1 The confirmed price includes the agreed pickup times, route and any waiting time specified in your confirmation.
- 6.2 Additional waiting time or route changes requested on the day may be charged at [£X per hour / part hour] and are at the driver’s discretion, subject to legal driving-hours limits.
- 6.3 Drivers’ hours are regulated by law. The driver’s working schedule cannot be exceeded, and route or timing changes that would breach these limits cannot be accommodated.
7. Passenger Conduct
- 7.1 Passengers must follow the reasonable instructions of the driver at all times, wear seatbelts where fitted, and behave in a manner that does not endanger or distress the driver, other passengers or road users.
- 7.2 The driver may refuse to carry, or require to leave the vehicle, any passenger who is abusive, violent, heavily intoxicated or behaving dangerously. No refund is payable in these circumstances.
- 7.3 Smoking and vaping are not permitted on any vehicle. Consumption of alcohol on board is not permitted unless agreed in writing at the time of booking.
- 7.4 The Hirer is responsible for the conduct of all passengers in the party.
8. Damage and Additional Cleaning
- 8.1 The Hirer is responsible for any damage to the vehicle caused by any member of their party, and will be charged the reasonable cost of repair.
- 8.2 A cleaning charge of up to [£150] applies where a vehicle is soiled (including sickness) or left in a condition requiring more than routine cleaning, reflecting cleaning costs and lost hire time.
9. Luggage and Personal Property
- 9.1 Luggage must be declared at the time of booking and is carried in the vehicle’s luggage hold at the owner’s risk.
- 9.2 Passengers are responsible for their personal belongings. The Company is not liable for loss of or damage to personal property left on the vehicle, though found property will be held for collection for [28] days.
- 9.3 Dangerous, illegal or hazardous items must not be brought on board.
10. Children and Accessibility
- 10.1 The Hirer must advise at the time of booking if child seats are required and, where the law permits coaches to carry children without child seats, remains responsible for deciding on their use.
- 10.2 Wheelchair users and passengers with accessibility needs are welcome – please advise all requirements at booking so we can allocate a suitable PSVAR-compliant vehicle.
11. Liability
- 11.1 Nothing in these terms excludes or limits our liability for death or personal injury caused by our negligence, or any other liability that cannot be excluded by law.
- 11.2 Subject to 11.1, our total liability in connection with any booking is limited to the total price paid for that booking, and we are not liable for indirect or consequential losses.
- 11.3 We hold full PSV operator licensing and passenger liability insurance as required by law.
12. Complaints
12.1 If something goes wrong, please tell the driver at the time where possible, and put any complaint in writing to info@theeverestcoachline.co.uk within [14] days of travel. We aim to respond within [7] working days.
13. General
- 13.1 These terms, together with your booking confirmation, form the entire agreement between the Hirer and the Company.
- 13.2 These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
